After Hours Intake Specialist - Onsite

We are currently looking for a welcoming and motivated Intake Specialist to manage the entire intake process for individuals seeking EMC services.
Position Summary
The Intake Specialist serves as the first point of contact for new clients, gathering vital information and coordinating their entry into the EMC Behavioral Health care system. The duties and responsibilities outlined below may be assigned to one or more team members at any given time.
Essential Duties and Responsibilities
The essential functions include, but are not limited to the following:
Client Engagement & Onboarding:
o Provide a welcoming and supportive first point of contact for clients, fostering a positive and empathetic environment.
o Respond to inquiries from potential clients and referral sources, effectively communicating the clinic's services and expertise.
o Conduct comprehensive intake assessments, gathering essential information about client concerns, symptoms, and relevant background.
o Complete prior authorization to ensure clients receive necessary accommodation and benefits. o Skillfully assess the urgency and appropriateness of client needs in relation to the clinic's services. o Clearly articulate clinic policies, procedures, and service offerings to new clients, ensuring understanding and transparency.
o Efficiently collect and verify client information, including contact details, insurance coverage, and medical history, maintaining accuracy and confidentiality.
o Determine insurance coverage and deductible information to provide clients with informed financial expectations.
o Ensure the completion of all necessary paperwork and consent forms, adhering to legal and ethical standards.
Appointment & Schedule Management:
o Proactively manage client appointments, scheduling based on individual needs and clinic availability. o Optimize appointment scheduling to minimize wait times and maximize clinic efficiency.
o Effectively manage waitlists and cancellations, ensuring optimal utilization of appointment slots.
o Coordinate appointment reminders and follow-up communication, enhancing client engagement and adherence.
Referral Coordination & Resource Navigation:
o Collaborate with the clinical team to determine appropriate treatment plans and referrals based on client needs and diagnoses.
o Provide referrals to external services or resources when necessary, ensuring clients have access to comprehensive support.
o Collaborate with DFPS and community partners to coordinate and schedule requested services, facilitating seamless transitions and continuity of care.
Administrative & Operational Support
o Maintain accurate and up-to-date client records, including intake forms, assessment notes, and relevant documentation, ensuring confidentiality and compliance with HIPAA regulations.
o Process and manage client payments, insurance claims, and billing information, maintaining financial records and ensuring timely processing.
o Serve as a liaison between clients and therapists or other staff members, facilitating effective communication and coordination of care.
o Actively participate in team meetings, contributing to the development and refinement of clinic policies and procedures.
Additional Responsibilities:
o Administer ADHD testing and submit documentation for clinical evaluation, supporting accurate diagnosis and treatment planning.
o Complete short-term disability, and FMLA documentation with clinical guidance, ensuring clients receive necessary accommodation and benefits.
o Provide doctor’s notes, complete medical records requests and other forms of documentation as needed. o Order and maintain office supplies and materials related to the intake process, ensuring efficient workflow and resource availability.
o Assist with other administrative duties as assigned by clinic management, demonstrating flexibility and a commitment to supporting overall clinic operations.
o Report data on key performance indicators (KPIs) such as referral volumes, contributing to clinic evaluation and improvement efforts.
Minimum Qualifications (Knowledge, Skills, and Abilities)
Education: High school diploma or equivalent required, Associate’s degree or Bachelor’s degree in social work, psychology, or related field preferred
Experience: 1+ years of experience in mental health setting or customer service role, intake experience preferred. Knowledge: Familiarity with mental health diagnosis, billing codes and insurance procedures, HIPAA regulations and Google Suite
Skills: Excellent communication, interpersonal, organizational and problem-solving skills. Proficient in using computer systems and Google suites.
Availability: Monday-Thursday, 4:00pm-8:00pm and Saturdays, 9:00am-1:00pm. Onsite at our Houston office.
Physical Demands and Work Environment
Ability to stand, sit, type and view a computer screen for extended periods of time.
Ability to lift up to 30lbs
Compensation
$15.00-17.00 per hour, private health insurance options and paid time off.
